Pig Roast fundraiser to coincide with another Make Shop demo/expo/open house

Event Recap / Lessons Learned

  • $595 Raised (Profit)
    • $317 from pig roast tickets.
    • $239 from random donations.
    • $40 from selling an oscilloscope.
    • 1 membership application
  • Cooking the Pig
    • Pit Cooking was much easier than Spit Cooking. The pig can be left unattended for longer periods of time.
    • Need to open the Aluminum Foil not over the pit/fire. Can cause a grease fire: Video of the great Pig Grease Fire of 2010
    • We need a larger pig next year the food was all gone in about 1.5hrs during a 6 hr event.
    • I think we were more money conscious this year, and uncertain how many people were going to attend, so we made a safe bet with the smaller pig. Now that we know how many folks to expect, we can afford to go bigger next time. --MrWorld
  • The NPR ad seemed to bring a lot of folks in. It was easy and free, and we should probably keep asking for these whenever it makes sense to do so. --MrWorld
  • People love the 3d printing and CNC machines. --MrWorld
  • Maybe use something like eventbrite to presell tickets
  • Have name badges or some way to get an official headcount

To-do (captured from 2009 Lessons Learned)

  • Need to get pig at least 48 hours in advance. - Todo: Preaux
    • Needed to find a place to defrost the pig in between when it was picked up and brought to the event. Ended up using Preaux's bathtub
    • Time was needed to inject the pig with spices and marinades
  • The BBQ sauce from MM was good. - Todo: Preaux
  • Making a breakfast and energy drink run for the early morning volunteers started the day off right. - Todo: Omegix
  • Time to cook the pig took closer to 8 hours, roughly two more than we were expecting for a 50lb pig - Todo: Preaux
    • Pig needed to be closer to the fire
    • We ended up building a hut around the pig out of extra lumber, covered in aluminum foil to reflect the heat back into the hut.
  • Having a second main food item really helped with easing people's hunger during the cooking time.
  • The main drink was Ice Tea. We had five medium size bags of ice purchased for the event, only needed about two to three.
  • Could have had more change on hand before the event. It worked out alright, but there were moments when we had to ask people to wait on us to make change. - Todo: Omegix
  • Event cost roughly $180 to put on, with a $150 pig. Event brought in $545, a net of about $388. About $75 of that was reimbursable seed money that was donated after the event. Todo: N/A
  • In the event of motor failure on the rotisserie, you can just turn the pig every 5-10 minutes.
  • a sprayer to keep the pig moisturized was a great tool to have on hand

    • 50lb pig is now $3.49 / lb, or $175. The said I could call tomorrow and talk to Mr. Phillips to see if we could get a better deal since we bought from them last year. --Omegix 16:50, 30 September 2010 (CDT)
